Privacy policy

Your scores. Your business.

Last updated 12 October 2026 · Applies to the Games Room HQ app for iPhone and iPad, and to gamesroomhq.app

The short version

  • Games Room HQ has no accounts, no ads, no analytics and no tracking.
  • Everything you enter stays on your device. Nothing is synced or uploaded by the app.
  • We, the people who make the app, never receive your players, photos or results. We have no servers that could.
  • Payments are handled entirely by Apple. We never see your card details.

Who we are

Games Room HQ is an app for keeping score in a household games room, made by an independent developer in the United Kingdom. In this policy, "we" and "us" mean the developer of Games Room HQ, and "you" means anyone who uses the app or visits this website.

We wrote this policy in plain English. Where it says we don't collect something, that's because the app is built so that the information never leaves your control, not because we choose not to look.

What the app stores, and where

To keep score, the app stores the things you type into it. All of it is saved inside the app on the iPhone or iPad you're using.

Player names and coloursYour deviceAnyone using the app on that device

Players and app users are different things. You can add someone as a player, with just a first name, without them ever installing the app.

What we never collect

The app contains no analytics, advertising, crash-reporting or tracking code, and no third-party software libraries that collect data. It does not ask for or use:

  • email addresses, phone numbers or passwords (there is no sign-up)
  • your location, contacts, calendar, health or microphone
  • advertising identifiers, or any way of following you across other apps and websites

On the App Store, Games Room HQ's privacy label is "Data Not Collected".

Backups and iCloud

The app itself never syncs or uploads anything. Your household lives on the one iPhone or iPad where you set it up.

If that device backs up to iCloud, Apple includes the app's data in the device backup, as it does for every app. That backup sits in your own iCloud account under Apple's privacy policy, and we can't open it.

Sharing a household across everyone's phones through iCloud is planned for a later version. Before that version is released, we'll update this policy to explain exactly how it works.

Photos and camera

Adding a photo to a player is optional. If you choose to, the app asks for permission to use the camera, or lets you pick a single picture with Apple's photo picker. The app sees only the picture you choose, never the rest of your library.

The picture is cropped to a small square and stored alongside that player, in the same places as the rest of your household's data.

Face ID and the backup PIN

Admin actions, such as editing results or removing a player, can be protected with Face ID, Touch ID or your device passcode. This is handled by iOS. The app is only told whether the check passed. It never receives your face, fingerprint or passcode.

For a shared wall tablet you can set a 4-digit backup PIN. It is stored in that device's secure Keychain and never leaves it.

Purchases

Games Room HQ is free to download, with an optional one-off Pro upgrade. Purchases, refunds and Family Sharing are handled by Apple through the App Store. We never receive your name, card details or Apple ID. Apple gives developers anonymous sales totals, which can't be linked back to you.

Sharing, exports and backups

Some features send things outside the app, but only when you tap them:

  • Share cards create a picture of a result, for example "Dave wins · Pool". You choose where it goes, using the iOS share sheet.
  • Export a backup saves a file of your household's data wherever you choose, such as Files or iCloud Drive. Anyone you give that file to can read it, so treat it like a photo album.
  • Restore from a backup reads a file you pick. It can also import a backup from the older Games Room web app.

Children

Games Room HQ is a family app, so households often add children as players. A parent or another adult in the household adds them, usually with a first name and sometimes a photo. That information stays on the device, exactly as described above, and is never sent to us.

The app has no chat, no public profiles and no way to contact people outside your household.

Keeping and deleting your data

Your data stays for as long as you keep it in the app. You're in control of deleting it:

  • Admins can edit or delete individual results from Match history.
  • Removing a player archives them, so past results still make sense. Their photo can be removed from their profile.
  • An admin can delete the whole household, and everything in it, from More, then Household.
  • Deleting the app removes everything it stored on that device.

Because we never hold a copy, we can't restore data you've deleted. Export a backup first if you might want it back.

This website

gamesroomhq.app uses no cookies, no analytics and no advertising, and doesn't load anything from other companies' servers. Even the fonts are served from this site.

The site is hosted by Cloudflare. Like any web host, Cloudflare briefly processes technical information such as IP addresses to deliver pages and protect the site from attacks. We don't use this information to identify or profile visitors.

Your rights

If you're in the UK or the European Economic Area, data protection law (the UK GDPR, the Data Protection Act 2018 and the EU GDPR) gives you rights over your personal information. These include the right to access it, correct it, delete it and object to how it's used.

Because Games Room HQ keeps your information on your device, you can exercise most of these rights directly in the app. If you ask us what we hold about you, the honest answer is that we hold none of your app data. We'll still answer any question you send.

If you're unhappy with how we've handled a privacy question, you can complain to the UK Information Commissioner's Office at ico.org.uk.

Changes to this policy

If the app starts handling data differently, we'll update this page before that version is released and change the date at the top. If a change is significant, we'll also say so in the app's release notes.
